Your responsibilities:
- Support Prothya Facility Topdesk and processes facility related requests and liaise with service providers
- Being the first point of contact for facility related questions towards employees.
- Handles first line facility related trouble calls.
- Single point of contact for Prothya´s facility related issues.
- Administration management of new access control system.
- Monitor the execution and follow-up of facility contracts, by monitoring the correct execution of daily and/or weekly operations and provides feedback and advice for improvement.
- Keep administration up-to-date, conclusive, and adequately conducted.
- Logistical aftercare and follow-up of administration and complaints handling
- Procures and coordinates facility services by creation of requisition, follow up & Goods receipt.
- Time sheet management of outsourced services (eg cleaning).
- Creating and reporting cost overviews for facility related activities, comparing budget versus actuals. highlight discrepancies.
- Managing the administration, providing information, giving advice, and performing other support activities for facilities.
- Independently answers internal correspondence and prepares it with regard to the administration.
- Processing all kinds of mutations in different automated systems.
- Archiving data.
Your profile:
- Completed MBO education with facility services preferred.
- At least 3-5 years work experience in similar positions.
- You have experience in administration.
- You have knowledge of Excel, Word, Powerpoint tools.
- Knowledge of GHX and/or SAP is a plus.
- You are independent, able to work autonomously and in teams.
- You have a proactive mindset.
- You have a strong communication and social skills.
